From HR automatization to datadriven processoptimization

Pillen Group, an innovative manufacturing company, professionalized its HR and payroll processes, leading to increased insight, efficiency, and self-reliance of managers. The collaboration expanded to multidisciplinary process optimization, utilizing data-driven solutions and various advisory services to achieve broader business improvements.

From HR automation to data-driven process optimization

Pillen Group has become the name in the production and processing of metals, wood, plastics, and complete assemblies. With over 100 employees, they also offer services in research & development, design, engineering, prototyping, and measurement techniques from Lichtenvoorde.

The progressive, all-in-one family business has existed since 1956. They see challenges and opportunities in making the impossible possible and offer tailor-made solutions. This drive, energy, and personal character of the company align well with de Jong & Laan.

The challenge

The challenge was initially in the professionalization of the HR and payroll process to improve quality, uniformity, and efficiency.

The original challenge was: getting tools to automate the HR and payroll process.

Through open discussions and good coordination, we made connections and together saw opportunities in other areas as well. Ultimately, we expanded the collaboration to multiple service areas.

Manageable processes

The result of properly aligning needs back and forth ensures that the right resources and techniques are used, making HR processes and issues more manageable.

There are and will always be challenges, particularly in the HR area. De Jong & Laan continues to support the SME company in this. Due to our involvement in developments, we can tailor our advice and (digital) applications accordingly. Together, we work towards the company's progress.

A nice bonus is that, thanks to the pleasant and open collaboration, we now work with a multidisciplinary advisory team towards the future.

By involving multiple disciplines, you create a broader view of the issues, the necessary approach, and the priorities that need to be set.

This way, you can provide the client with comprehensive advice. Thus, we work with the team and the client towards the future. Additionally, a nice synergy has emerged in the HR area: Renate is an ambassador of the HR system and is happy to share her practical experiences from the implementation with future users.

Support on multiple fronts

Pillen Group was introduced to the HR dashboard during a meeting at Saxion University. After the initial contacts, possibilities were quickly explored. We started with payroll processing and setting up a financial dashboard and HR dashboard. They aligned the client's needs and configured the software accordingly. During this process, we gained insights and more improvement potential. Thus, with the help of IT advice, we found a solution in Power Automate for the complex hours processing.

Understanding the company and its culture is essential, as is the drive to periodically evaluate and continuously improve.

By standing alongside the client as a sparring partner and listening carefully to their motivations and needs, Annerie (personnel manager at de Jong & Laan) realized that the Pillen Group could also use our support in other areas.

A multidisciplinary team was formed to support this client also in accounting, auditing, and IT advice. This way, they have real-time insights via a financial dashboard. All of this stemmed from open collaboration, personal involvement, and data-driven insights.

Our services

The initial focus was on making a step towards professionalization through the digitalization/automation of the HR process. During this process, we carefully examined all HR flows to arrive at a solid blueprint as a foundation for the future. This was the basis for implementing Daywize, the HR system that connects with their already functioning Nmbrs. By linking these systems, actions became accessible to employees. They could consult their leave hours, view anniversaries, etc.

Besides optimizing administrative HR processes, which provided insight and time savings, a quality improvement in the HR process was also achieved. Managers are supported by the workflows in the HR system in their roles and tasks regarding matters such as interviews and onboarding. Everything is facilitated by the system. Since everything comes together in one place, HR and management have a comprehensive overview of the entire process at a glance.
